Legal Assistant – Legal Affairs

On behalf of our client, Procom is currently seeking a Legal Assistant – Legal Affairs to provide legal clerical support to members of the Legal Affairs department, including document preparation, formatting, generating reports, research and document review. The Legal Assistant maintains a very high degree of accuracy and attention to detail and is highly organized. Discretion is key to this role, as is the delivery of high-quality work in a timely manner, and the ability to work efficiently and effectively with a demanding workload. Working in a fast-paced, often complex and highly confidential environment, the Legal Assistant adapts quickly to and works well under the frequent changes in the priorities/deadlines of the department and of organization.

Legal Assistant Job Duties:

  • Provide clerical support and assistance to the Legal department lawyers including preparation of basic legal documents and correspondence; first review of documents (checking for accuracy and completeness); conduct research where applicable; drafting and tracking signature requests; and ad hoc related requests
  • Assist with the oversight of legal invoice processing including set-up/review of retainers; when necessary entering and tracking progress of invoices through the invoice processing system; reviewing and improving processes/systems; correlating information to generate reports; and resolving issues
  • May provide dedicated clerical assistance to the Corporate Secretary including uploading documents to Diligent; preparing agendas; drafting meeting minutes; and ad hoc related requests
  • Help implement and improve upon Legal department processes for a more efficient and effective workflow
  • Assist lawyers in preparing transactional documents, affidavits, and declarations; obtaining due diligence materials; monitoring deadlines; initial contract reviews; and managing calendars/meetings
  • Maintain internal database of confidentiality walls / restricted lists / confidentiality agreements and ensure content is accurate and current
  • Accomplish organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Develop strong collaborative relationships with other business and operational groups
  • Ensure adherence to established corporate policies and directives, and ensure that solution deliveries support their values and governance directives
  • Other accountabilities may be defined as the Legal Affairs department grows and the Legal Administrative team develops

Legal Assistant Mandatory Skills:

  • Minimum 5 years’ experience and comprehensive knowledge of office practices and procedures
  • Legal Assistant certification or diploma, or equivalent combination of education
  • Previous experience in a legal office and familiarity with law, legal procedures, and protocols
  • Understanding of legal terminology and the ability to apply it correctly
  • Strong organizational skills with high attention to detail
  • Ability to multi-task, react to changing priorities, and meet deadlines
  • Strong analytical and problem-solving skills
  • Excellent verbal and written communication skills
  • A professional and discreet manner, using tact, discretion, and diplomacy at all times
  • Advanced working knowledge of MS Office and fluency with a broad range of computer applications
